Key Responsibilities:
- Perform general clerical duties, including answering phones, responding to emails, and managing correspondence.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare reports, presentations, and documents as requested.
- Maintain filing systems (electronic and paper) and update records accurately.
- Greeting visitors and managing incoming and outgoing mail and deliveries.
- Monitor and update Facilities Maintenance schedule.
- Schedule events and luncheons.
- Support budgeting, purchasing, and expense tracking processes.
- Coordinate office supply inventory and reorder materials as needed.
- Assist with special projects, events, and functions, including socials, vendor lunches, and specialized training.
- Maintain compliance with all applicable policies and procedures and global standards.
- Adhere to Health, Safety, and Environmental policies.
- Participate in department meetings, training, and functions as requested.
- Meet job expectations, including attendance and punctuality.
- Perform other duties as assigned.
- High school diploma or equivalent required.
- 3+ years of administrative or office support experience.
- Strong computer skills; proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, DocuSign).
- Ability to write routine reports, analyses, and correspondence.
- Strong verbal and written communication skills with a high standard of professionalism.
- Excellent planning, organizational, and time management skills; ability to prioritize tasks effectively.
- Effective problem-solving skills and ability to provide workable solutions.
- Ability to work independently with minimal supervision.
- Attention to detail and results-oriented mindset.
- Flexibility to adapt as priorities change.
- Ability to handle sensitive/confidential information with discretion.
- Typical office setting; occasionally required to lift up to 20 lbs.
- Must be able to work overtime as workload dictates.
