We are seeking an experienced Administrative Assistant to provide high-level administrative support and ensure efficient office operations. This role supports managers and employees through a variety of tasks related to organization, communication, and coordination. The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
  • Perform general clerical duties, including answering phones, responding to emails, and managing correspondence.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Prepare reports, presentations, and documents as requested.
  • Maintain filing systems (electronic and paper) and update records accurately.
  • Greeting visitors and managing incoming and outgoing mail and deliveries.
  • Monitor and update Facilities Maintenance schedule.
  • Schedule events and luncheons.
  • Support budgeting, purchasing, and expense tracking processes.
  • Coordinate office supply inventory and reorder materials as needed.
  • Assist with special projects, events, and functions, including socials, vendor lunches, and specialized training.
  • Maintain compliance with all applicable policies and procedures and global standards.
  • Adhere to Health, Safety, and Environmental policies.
  • Participate in department meetings, training, and functions as requested.
  • Meet job expectations, including attendance and punctuality.
  • Perform other duties as assigned.
Education:
  • High school diploma or equivalent required.
Experience:
  • 3+ years of administrative or office support experience.
Minimum Qualifications:
  • Strong computer skills; proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, DocuSign).
  • Ability to write routine reports, analyses, and correspondence.
  • Strong verbal and written communication skills with a high standard of professionalism.
  • Excellent planning, organizational, and time management skills; ability to prioritize tasks effectively.
  • Effective problem-solving skills and ability to provide workable solutions.
  • Ability to work independently with minimal supervision.
  • Attention to detail and results-oriented mindset.
  • Flexibility to adapt as priorities change.
  • Ability to handle sensitive/confidential information with discretion.
Work Environment:
  • Typical office setting; occasionally required to lift up to 20 lbs.
  • Must be able to work overtime as workload dictates.
